This Privacy Policy explains how bnbuddy collects, uses, shares, retains, and protects personal data when you visit our website, use our dashboard, interact with our web chat, or communicate through WhatsApp-enabled guest support.

Who we are

bnbuddy provides AI-powered guest support tools for vacation rental hosts, boutique hospitality operators, and property managers.

Information we collect

We collect information that you provide directly, information generated when the service is used, and information received from service providers that help us operate bnbuddy.

  • Account and contact data, such as name, email address, company name, team membership, and authentication details.
  • Property and operational data, such as property names, guest instructions, house rules, knowledge base documents, QR code links, emergency preferences, and host contact settings.
  • Guest conversation data, including messages, timestamps, language, conversation channel, ticket history, and support context needed to answer guest questions.
  • WhatsApp-related data, such as phone numbers, message content, delivery metadata, and conversation identifiers when a guest or host communicates through WhatsApp.
  • Billing data, such as subscription status, plan details, invoice references, and payment provider identifiers. We do not store full card numbers.
  • Website, cookie, and analytics data, such as pages viewed, device and browser information, IP address, referral source, campaign parameters, Meta Pixel events, Google Tag Manager events, and similar usage information.
  • Technical and security logs, such as request metadata, error logs, access logs, audit events, and abuse-prevention signals.

How we use information

We process personal data for clear business purposes connected to providing, securing, improving, and supporting bnbuddy.

  • To create and manage accounts, teams, properties, subscriptions, and onboarding requests.
  • To provide AI-powered guest support through web chat and WhatsApp, including answering questions from approved property knowledge base content.
  • To create tickets, notify hosts, and escalate urgent guest issues through configured channels.
  • To process payments, manage subscriptions, prevent fraud, and maintain billing records.
  • To provide analytics, measure product performance, debug issues, protect the service, and prevent misuse.
  • To measure website campaigns and improve marketing using tools such as Meta Pixel and Google Tag Manager, where permitted by law.
  • To respond to support, privacy, compliance, and legal requests.

Meta, WhatsApp, and third-party services

If you use or interact with bnbuddy through WhatsApp, your messages and related metadata may be processed by Meta and WhatsApp according to their own terms and privacy practices. bnbuddy uses this information to deliver messages, support conversations, and notify hosts.

Our website may use Meta Pixel and related Meta business tools to understand website activity, measure campaigns, and improve advertising. These tools may collect browser, device, page view, and event data.

We also use trusted service providers for hosting, authentication, database storage, payment processing, email, messaging, analytics, security, and infrastructure. These providers process data only as needed to provide their services to bnbuddy.

How we share information

We do not sell personal data. We share information only where needed to operate bnbuddy, comply with law, protect rights and security, or with your direction.

  • With hosts, account owners, and authorized team members so they can manage properties, conversations, tickets, and guest support.
  • With guests when bnbuddy replies to their support requests using the property information configured by the host.
  • With service providers that help us deliver hosting, messaging, payments, analytics, security, and support.
  • With legal, regulatory, or security parties when required by law or necessary to protect users, bnbuddy, or the public.

Data retention

We keep personal data only for as long as reasonably necessary to provide the service, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support legitimate business operations.

Guest conversation data and property knowledge base content are retained while needed for the host's account and support history, unless deletion is requested or a shorter retention period is required by law.

How to request data deletion

You can request deletion of your personal data by emailing support@bnbuddy.ai with the subject line "Data deletion request". Please include the email address, phone number, or account identifier connected to the data you want deleted.

If you are a guest who contacted a property through bnbuddy, include the phone number or chat link used and the property or host name if known. We may need to verify your identity or coordinate with the relevant host before deleting data tied to a booking or support conversation.

After verification, we will delete or anonymize personal data unless we must retain limited information for legal, security, billing, fraud-prevention, or compliance reasons.

Your choices and rights

Depending on where you live, you may have rights to access, correct, export, restrict, object to, or delete personal data. You may also have the right to withdraw consent where processing is based on consent.

You can contact support@bnbuddy.ai to exercise these rights. Marketing and analytics cookies may also be controlled through browser settings or consent tools where available.

Security

We use technical and organizational safeguards designed to protect personal data, including access controls, account isolation, logging, and provider security controls. No online service can guarantee absolute security, but we work to reduce risk and respond to security issues promptly.

bnbuddy is not intended for children and we do not knowingly collect personal data from children.
